Refund & Cancellation Policy

This Refund & Cancellation Policy applies to coordination and concierge services provided by Atlas Travel Management LLC ("Atlas", "we", "us"). It should be read together with our Terms and Disclaimers.
Service / coordination fees: Our professional planning, research, coordination, and concierge fees are generally non-refundable once work begins, even if travel is later changed or cancelled, unless otherwise agreed in writing.
Third-party travel components: Flights, hotels, medical providers, ground transport, and other travel components are provided by independent third parties. All refunds, credits, and change options for those components are governed by each supplier's own terms and conditions.
Supplier refunds and credits: When a supplier issues a refund or credit to us on your behalf, we will pass that refund or credit through to you minus any non-refundable amounts and our earned service fees. Timing of funds return depends on the supplier and card networks.
Changes and cancellations by the client: If you choose to change or cancel an itinerary, additional supplier fees may apply. We will inform you of any such fees before proceeding and will only make changes with your approval.
Changes and cancellations by suppliers: Airlines, hotels, and other suppliers may change schedules, cancel services, or alter availability. In those cases we will assist with rebooking or pursuing refunds/credits as permitted by the supplier, but we are not responsible for decisions or limitations imposed by those suppliers.
Disputed charges and chargebacks: If you have a concern about a charge, please contact us first so we can investigate and, where appropriate, help facilitate a refund, credit, or itinerary change. Unresolved disputes may result in chargebacks, which can affect your ability to book with us in the future.
Custom agreements: Certain corporate, group, or medical travel projects may have custom refund and cancellation terms in a statement of work or service agreement. Where there is a conflict, the signed agreement for that project will prevail.
